You must be at least 18 years old to make a reservation. Those under 18 years old are not permitted to stay in a Premier Inn hotel unless a parent or guardian is also staying in the hotel.

We will confirm our acceptance of your reservation by sending you an email to the email address that you provide during the reservation process. The contract between us for the provision of your room and any additional services added to your reservation will be formed when you receive this email confirmation from us.

If you think that there is a mistake in your reservation or if you require any changes to a confirmed reservation, please contact us to discuss. For more information on cancellation, please see section 10 Cancellation, below.


Please note that bookings not made directly with Woodlands House, either by telephone or using our own online booking system, may be subject to different cancellation policies. If you choose to use a third-party booking system, please read their cancellation policies carefully. If in doubt, please telephone us. 


If you have booked a room directly with Woodlands House, either via telephone or using our online booking system and you’re unable to come for whatever reason, you can cancel free of charge as long as you telephone us, or cancel online, by 2pm the day before arrival. If you don’t contact us until after 2pm on the day before your planned arrival day, you will be charged for the first night of your stay. 

If you are booking or have booked via a third party such as or other online travel agent, please check their small print carefully as their cancellation policy may be different. 


We ask for a deposit of 20% at the time of confirmation of the booking for private and corporate functions. 

our special events, such as wine tastings, candlet lit dinners, murder mystery evenings and Mother's Day Sunday lunch. Any cancellations made 2 weeks before the date of the event will be refunded in full.

For our special breaks and packages, such as weekend breaks and stayaways, Bank Holiday weekend breaks or New Year's breaks we would usually ask for a non-refundable deposit and / or full payment up front.  Any cancellations made 2 weeks before the start of the break will be refunded in full.

For group bookings of 3 rooms or more, 7 days notice of cancellation is required.


Imperial Hotel reserves the right to change these cancellation policies from time to time as it sees fit. Your continued use of the site will signify your acceptance of any adjustment to these terms. You are therefore advised to re-read this statement on a regular basis. 

1. A 30% non-refundable deposit is required to secure your reservation at Woodlands House.

2. The balance of payment is due one month before your wedding or function. No access will be permitted unless payment has been made in full. 

3. A refundable damages deposit of £100 is payable at the time of booking. 

4. Cancellations less than 3 months prior to the wedding or function will incur a 75% cancellation fee. 

5. Functions or weddings cancelled less than 1 month prior to the wedding will incur a 100% cancellation fee.

6. Any wine pre-purchased directly from the venue, whereby the order has been submitted, will not be eligible for a refund if your wedding is cancelled.  

7. Any functions or weddings that are cancelled due to unexpected or unforeseen circumstances such as pandemics or natural disasters less than 6 months before the date will be able to reschedule for another date in the future subject to availability. We recommend all customers take out the necessary insurance in the unfortunate event that you have to cancel your booking.

8. Our policy would be to only offer an alternative date if the venue is unable to hold your wedding or function due to a natural disaster, the outbreak of infectious or contagious disease or the venue is closed by the relevant authority. 

9. The safety of our guests is of utmost importance so in the event that the Government or local authority declared a lockdown or banned any public gatherings then this would permit you to reschedule your wedding or function for another date (subject to availability). In these circumstances, we would not be able to offer a refund. 

10. We urge all our clients to take out the appropriate insurance to cover their function or event. 

Payments required

100% 1 month before the function

75% 3 months before the function

50% 6 months before the function

25% at the time of booking if the function is more than 6 months later.

In case of cancellation, 75% of the payment received will be retained by Woodlands House.

The cooling-off period is 14 days from the date of booking. If the cancellation is made within the cooling-off period, the deposit will be refunded in full.

Woodlands House provides wedding insurance to every couple who books their wedding with us. The insurance covers up to 10,000

  • If you have to postpone your wedding or event the deposit can be held until the new selected date, but unfortunately cannot be refunded.

  • We always recommend taking out wedding insurance in the unfortunate event you have to cancel your booking.

  • Charges are calculated as a percentage of the total booking value including extras at the time of cancellation


Draft Contract and Cancellation Policy. Your payment covers the use of Lyde Court for the day. This includes the use of Lyde Court for a Civil Ceremony, the hire of the Barn, gardens and grounds. Use of tables and chairs and candles. You are most welcome to add decorations to personalise the venue. Our heating, lighting and sound systems would also be available to you at no extra cost. A changing room will be available in the house. Please note that this does not include the Registrar’s fees which need to be paid directly to the Registrar at Hereford Town Hall.

Catering is not included. All catering must be provided by Lyde Court’s team of professional caterers for all food including Canapés, Wedding Breakfasts, Hog Roasts, evening food, cheese boards etc. Outside caterers are not permitted.

We will run a fully staffed paying bar. The bar, bar-staff and all drinks must be provided by Lyde Court. We will supply a comprehensive selection of wines, ales and ciders for sale for the event.

Entertainment is not included.

Accommodation is not included. At extra cost: A bridal suite and an additional double room is available within Lyde Court; Dormitory style accommodation for up to 100 guests is also available on site in the Oast House.

Camping on site is £25 per person including breakfast. Tents can be pitched from 11am on the day of the event and must be removed by 11am the day following the event. There may be some flexibility on this depending on other bookings.

Weddings & Functions Cancellation Charges

1. Payment of a £1,000 non-refundable deposit is required at the time of booking. OR Payment in full is required at the time of booking for the early payment discount to apply.
